Company Overview:
Prism Specialties, a fast-growing disaster restoration company based in Livonia, is seeking a motivated and dependable Commercial Project Assistant to join their team.


This is an exciting travel position where you will be coordinating various job activities directly at customer locations. You can expect to be deployed on short notice for jobs that typically last between 1-3 weeks, with 50% of your time spent traveling.

Key Responsibilities:
As a Commercial Project Assistant, your main duties will include:
  • Coordinating job activities at client job sites, ensuring everything runs smoothly.
  • Handling time-sensitive tasks under pressure, meeting immediate deadlines.
  • Multi-tasking effectively, with the ability to pivot between assignments quickly and efficiently.
  • Utilizing office equipment such as computers, phones, and internet for daily tasks.
  • Managing files with attention to accuracy and organization.
  • Professionally drafting written communication (letters, emails, etc.) with proper grammar and English.
  • Handling after-hours calls when necessary.
  • Researching and implementing travel arrangements (flights, hotels, vehicles) for projects.
  • Maintaining daily logs (labor, equipment, material usage) on the job site.
  • Entering usage information for invoicing purposes.
  • Summarizing and distributing daily job communications from the Project Engineer to relevant parties.
  • Coordinating meals for the job location or hotel.
Qualifications:
We’re looking for a candidate who can thrive in a fast-paced environment and has:
  • Proven ability to work well under pressure and meet deadlines.
  • Exceptional multi-tasking skills with strong attention to detail.
  • High proficiency with Microsoft Office (Excel, Word, Outlook).
  • A quick learner with the ability to become proficient in new software packages.
  • Strong organizational skills with a focus on accuracy in data entry and record-keeping.
  • Excellent communication skills, both written and verbal.
Additional Requirements:
  • Must be comfortable with up to 50% travel, including weekends and evenings when needed.
  • Ability to manage and coordinate with outside service providers to meet deadlines and expectations.

Schedule:
  • Full-time, Monday to Friday, with weekend availability when required.
